How THE OTHER BOOK processes information and the choices available to you.

Controller and contact
Oxford Intelligence Limited operates THE OTHER BOOK app, community and website and is responsible for the information described here. Email info@theotherbook.io for privacy questions, support or a data-rights request.
Information you provide
Account and profile data includes email, account ID, handle, name, images, optional biography, country, city, languages and interests. We process content you submit: posts, comments, photos, videos, audio, private messages, groups, collections, Quiet Space entries and support reports. When you use student verification, events, marketplace or creator functions, we also process the information, documents, listings, offers or reservations you submit. VERIFY and AI requests include the claims, sources, prompts and selected context you choose to provide.
Activity, devices and location
We process follows, reactions, saves, search history, reading activity and recommendation preferences. Session, device and notification identifiers, security logs and performance diagnostics help deliver and protect the service. Posts can use a city-level location label. Precise coordinates are shared only when you choose to preview and send a location in chat. Camera, photo, microphone, location and notification permissions are controlled in device settings. We do not require your phone address book.
Purposes and legal bases
We use information to provide your account and requested functions, deliver messages, maintain collections, handle requests and enforce safety rules. Interaction data supports recommendations when enabled; diagnostics support reliability. The legal bases are performance of the service you request, legitimate interests in security, moderation and improvement, consent where required, and legal obligations. Turn off personalised recommendations or optional diagnostics in Privacy & accessibility; essential security processing remains necessary.
AI-assisted functions
Using VERIFY, O Copilot, translation or transcription can send the selected text, media or context needed for the request to AI and information providers, including OpenAI. Some workflows retain requests, sources and results for your history. Do not submit information you are not authorised to share. Outputs can be incomplete or incorrect and are not professional advice or a guarantee of truth. Using ordinary community features does not authorise unlimited AI access to all your private messages.
Visibility and providers
Public posts and profile information can be viewed by others. Private conversations and limited-audience content are shared with intended participants, subject to service administration and safety processes. Recipients may retain copies. Providers include Supabase for accounts, database and media, Cloudflare for the website, and Expo or operating-system notification services for enabled mobile functions. Authorised personnel may access relevant information for support, reports or legal obligations. We do not sell personal information or use it for cross-app advertising tracking.
International processing
The account and database project is hosted in the United Kingdom. Infrastructure, AI, delivery and support providers may process information in other countries. Where required, transfers use applicable adequacy arrangements or contractual safeguards. Contact us to ask about safeguards relevant to your information.
Retention and deletion
We retain information as needed for your account, features you use and safety, legal or dispute requirements. Request export or account deletion from Privacy & accessibility in the app, or through the account deletion page. Requests are processed after identity checks and are not immediate automatic deletion. Necessary legal or security records, recipient copies and backups may remain for their applicable retention periods. We explain relevant exceptions when handling a request.
Your rights and choices
Change profile information, permissions, blocking, diagnostics and recommendation settings. You may request access, correction, export, deletion, restriction or objection where applicable. Contact info@theotherbook.io; we may request proportionate identity verification. You may complain to the UK Information Commissioner’s Office or your local data protection authority.
Age and updates
The service is intended for people aged 13 or older, or the higher age required by local law or the applicable store. It is not designed for children under 13. Contact us if a child below the applicable age provides personal information. We identify material changes with an updated effective date.
